What is OCR?

OCR is the ability of a computer input device or other machine to optically read individual characters (letters, numbers, symbols) from a page and convert the information into an electronically stored text file. Library of Virginia, Glossary of Frequently Used Terms and Acronyms Directory.

The true benefit is not just the ability to cut and paste, it is the ability to easily search and index information.

Paper to Electronic

Thousands of pages of printed information can be unorganized to say the least. One out of every twenty pages is eventually lost or destroyed and $120 in labor is spent searching for that lost file.

Scanning to OCR reduces this risk by not only creating a digital copy on your hard drive, but by making that document searchable so that it can be found instantly.

In, § 108.600 General requirement to maintain and preserve records, section (c) Preservation of records, it states that, “You must retain all the records that are the basis for your financial reports. Such records must be preserved for the periods specified in this paragraph (c), and must remain accessible for the first two years of the preservation period”. And that “You may substitute a microfilm or computer-scanned or generated copy for the original of any record covered by this paragraph (c)”.

Electronic to Searchable Electronic

Perhaps you have a PDF file of a financial report or patent and you want to be able to find specific information within that file or be able to export that info to a word document or spreadsheet, but it is saved as a non searchable image instead of text. Running it through advanced OCR software can quickly turn that image into editable text. The financial report can be converted into an excel file for quick functions or equations. The patent can be converted to a word document to easily copy, paste, and search relevant information. What was once a flat image, is now a dynamic set of information that can be exchanged amongst programs.
